Key Responsibilities:

  • Manage the executive's calendar, schedule appointments, and coordinate meetings, conference calls, and travel arrangements.
  • Serve as the primary point of contact for internal and external stakeholders, screening and prioritizing communications and inquiries on behalf of the executive.
  • Prepare and edit correspondence, presentations, reports, and other documents for the executive, ensuring accuracy and professionalism.
  • Conduct research, gather data, and compile information for reports, presentations, and special projects as assigned by the executive.
  • Anticipate the needs of the executive and proactively handle administrative tasks, such as expense reporting, document management, and file organization.
  • Attend meetings, take minutes, and follow up on action items and decisions as needed to support the executive and ensure accountability.
  • Maintain confidentiality and handle sensitive information with discretion and professionalism.
  • Collaborate with other members of the administrative team to streamline processes, improve efficiency, and enhance the overall effectiveness of administrative support services.

Requirements:

  • Bachelor's degree in Business Administration, Office Management, or a related field. Executive assistant certification is a plus.
  • Proven experience as an executive assistant or administrative assistant supporting senior-level executives in a fast-paced environment.
  • Excellent organizational and time management skills, with the ability to multitask, prioritize tasks, and meet deadlines.
  • Strong attention to detail and accuracy in handling correspondence, scheduling, and document preparation.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office productivity tools.
  • Exceptional communication and interpersonal skills, with the ability to interact professionally with executives, staff, clients, and external partners.
  • Ability to work independently with minimal supervision and exercise sound judgment and discretion in handling confidential information.
  • Flexibility to adapt to changing priorities and schedules, with a proactive and positive attitude towards problem-solving and task execution.
