Key Responsibilities:

  • Assist in the coordination and scheduling of construction activities, including meetings, inspections, and deliveries, to ensure project timelines are met.
  • Maintain accurate project documentation, including contracts, change orders, drawings, and permits, and ensure they are organized and easily accessible for reference.
  • Prepare and distribute project-related communications, such as meeting agendas, minutes, and status updates, to keep stakeholders informed of project progress and decisions.
  • Assist with procurement processes, including obtaining quotes, processing purchase orders, and tracking deliveries, to ensure timely acquisition of materials and supplies.
  • Support project budget management by tracking expenses, processing invoices, and reconciling accounts, and alerting project managers to any discrepancies or overruns.
  • Liaise with subcontractors, vendors, and suppliers to coordinate project activities, resolve issues, and ensure compliance with project requirements and specifications.
  • Assist in the preparation of project reports, presentations, and proposals, and participate in project meetings as needed to provide administrative support.
  • Maintain a safe and organized work environment, adhering to company safety policies and procedures, and promoting a culture of safety among project team members.

Requirements:

  • High school diploma or equivalent. Associate's degree or certification in construction management, business administration, or related field is a plus.
  • Proven experience in administrative roles within the construction industry, with familiarity with construction terminology, processes, and documentation.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management software, with the ability to quickly learn and adapt to new systems.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
  • Strong communication and interpersonal skills, with the ability to effectively communicate with diverse stakeholders, both verbally and in writing.
  • Attention to detail and accuracy in data entry, documentation, and record-keeping.
  • Ability to work independently with minimal supervision and collaborate effectively in a team environment.
  • Knowledge of safety regulations and best practices in the construction industry is preferred.
