Key Responsibilities:

  • Provide administrative support to management and staff, including scheduling meetings, making travel arrangements, and managing calendars.
  • Answer and direct phone calls, emails, and other inquiries in a professional and timely manner.
  • Prepare and edit correspondence, reports, and presentations, ensuring accuracy and attention to detail.
  • Maintain office filing systems, both electronic and physical, and ensure documents are organized and easily accessible.
  • Assist with office supply inventory management, order supplies as needed, and coordinate equipment maintenance and repairs.
  • Coordinate and schedule appointments, interviews, and events, and make necessary arrangements for meetings and conferences.
  • Assist with data entry, record-keeping, and database management tasks to ensure accuracy and completeness of information.
  • Assist with special projects and initiatives as assigned, providing support to various departments as needed.
  • Uphold confidentiality and handle sensitive information with discretion and professionalism.

Requirements:

  • High school diploma or equivalent. Associate's degree or relevant certification is a plus.
  • Proven experience in an administrative support role, preferably in an office setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Excellent communication and interpersonal skills, with a positive attitude and a customer service-oriented approach.
  • Attention to detail and accuracy in all tasks, with a commitment to maintaining high standards of quality.
  • Ability to work independently with minimal supervision and collaborate effectively with team members.
